Procurement Control Tower

Design a one-stop portal that integrates all the key tools, applications, and resources that the procurement team uses daily. The portal should simplify workflows, improve visibility into key performance metrics, and enhance decision-making by providing centralized access to business news, project management, and performance tracking.

Solution

Procurement teams often use a variety of disconnected local applications for tasks such as supplier management, contract management, order tracking, and budget approvals

Create a one-stop portal for the procurement department to streamline all daily activities, including integration of local applications, business news, project management, KPIs for performance metrics, reports, and procurement-related training materials

Dashboard

Home.png

A dedicated section for users to manage procurement-related tasks, showing task statuses such as "In Progress," "Complete," and "Overdue."

Task Management

This feature provides real-time, AI-driven market insights, offering suggestions related to supplier trends, commodity pricing, and potential risks. The system continuously analyzes market data, alerting users to critical opportunities or risks that may affect procurement decisions.

AI Market Suggestions:

A visual display of key performance indicators (KPIs) relevant to procurement, such as supplier performance, cost savings, and procurement cycle times. Data is presented through clear graphs, charts, and color-coded indicators, allowing users to assess performance at a glance and make informed decisions

Onboarding

Home-1.png

To ensure users can quickly and efficiently navigate the new Procurement Control Tower Portal, the onboarding experience includes an interactive tutorial that guides them through the main sections of the platform’s navigation

01

As users navigate to different sections for the first time after onboarding, contextual hints appear, providing brief explanations of the features specific to that section. For example, when hovering on "Feedback" in navigation for the first time, a pop-up could explain how to use this feature for improving the experience further

02

The walkthrough uses tooltips or highlighted overlays to guide users through each section of the navigation menu, explaining what each part does.

Reporting

The main reporting interface displays an at-a-glance overview of available reports, categorized into different types such as Monthly End, Weekly Pipeline, etc.

01

Drill down into specific metrics or segments for deeper analysis (e.g., examining performance by individual suppliers or regions).

02

The reporting UI also offers dashboard widgets that connect insights directly on the main dashboard. Users can select specific KPIs or report data points to monitor in real time without having to generate a full report. These widgets provide quick, actionable insights on procurement performance.

Design Critique sessions

In the project, I facilitated design critique sessions with the clients to gather iterative feedback and ensure the design met their needs. During these sessions, I presented the workflow and key UI components of the procurement control tower, walking the clients through each feature, including task management, AI-driven market insights, KPI dashboards, and the support UI.

The goal of these sessions was to:

  • Validate user flows and confirm that the navigation and interaction patterns aligned with client expectations.

  • Identify pain points or potential improvements in the usability of the system based on client workflows.

  • Incorporate client-specific needs, such as adding new KPI metrics or refining the report generation tools to better align with their operational processes.

Clients provided valuable feedback, and based on these discussions, I made several iterative improvements. This included refining the user interface for the reporting system, enhancing the accessibility of training materials, and improving the visual hierarchy of key performance indicators for better readability. These collaborative sessions helped ensure that the final product was aligned with both user needs and business goals

Support

The training hub provides users with a library of procurement-related training materials, including video tutorials, step-by-step guides, webinars, and articles. This content is designed to help procurement teams understand best practices, learn new tools, and stay updated with industry trends

01

The FAQ section provides a well-organized repository of answers to frequently asked questions, helping users troubleshoot common procurement, technical, and administrative issues

02

Users can submit IT support tickets or requests directly through the support UI. Whether they are facing technical issues with the platform or need new tools, the form allows users to:
